Xero Google reviews requested automatically when an invoice is paid

Xero cannot ask clients for reviews. The setup that works is a Zapier step that watches for a sales invoice reaching Paid and sends the client's email to ReviewJet, which emails one Google review request after the delay you set. Every client who settles an invoice is asked once, nobody is asked twice in 30 days, and nobody in the office has to remember.

Why a Paid status beats every other Xero trigger

Zapier offers 18 Xero triggers. Unlike QuickBooks Online, Xero has no "paid invoice" trigger of its own, so the clean signal comes from two pieces: Updated Sales Invoice, which Zapier describes as firing "when a Sales Invoice is updated", and a filter that lets the run continue only when the invoice status is PAID.

That status only appears once the amount due reaches zero. A deposit on a fixed-fee engagement or the first installment of a payment plan leaves the invoice open, so the client is not asked for a review halfway through the work. The ask waits for the final payment, which is also the point where an unhappy client would already have said so.

New Payment is tempting because it sounds right, but Zapier says it fires "when you receive a new payment", partial ones included. Use it only if you never take deposits or installments.

What Xero offers itself

The review link in an invoice branding theme

A Xero user asked in July 2024 for a way to put a Google review link or QR code on invoices. Xero marked the idea completed in January 2025 with this answer: download the docx template of an advanced branding theme and "insert an image (QR code) or static text (a link)". Receipt templates, Xero added, do not support it.

It costs nothing and every invoice carries the link. The catch is timing. The link arrives with the bill, before the client has paid and often before they have opened the deliverable, and nothing follows up. For a firm sending a dozen invoices a month that is fine. Past that, the clients most likely to write a review are the ones nobody remembers to ask.

Setup

How to connect Xero to Google review requests

About twenty minutes, once. After that every settled invoice is handled without anyone opening ReviewJet.

    Create your trigger address

    In ReviewJet, open Review requests and click Create trigger address. You get a private URL with a long secret key. Put your Google review link in the request template.

    Start a Zap on Updated Sales Invoice

    In Zapier, choose Xero as the trigger app and Updated Sales Invoice as the event, connect your organization and load a recently paid invoice as test data.

    Filter to PAID

    Add Filter by Zapier. Continue only if the invoice Status exactly matches PAID. Everything else, drafts, approvals and edits, stops here.

    Post to ReviewJet

    Add Webhooks by Zapier, POST, payload JSON. Map the contact email and first name, set delay_days and timezone. If the test record shows no email, add Xero Find Contact first.

    Test and switch on

    Run the test. A scheduled reply means the request is queued. Send one to your own inbox, read it on your phone, then turn the Zap on.

Optional. First name for the greeting.

Optional. 0 sends now, up to 365 days later.
timezone
Optional. With it, the email lands between 9:00 and 18:00 in the client's time.

Optional. A different template per service line, such as tax work and monthly bookkeeping.

Guards built into the address

  • A second call for the same email within 30 days is ignored. Updated Sales Invoice can fire again if someone edits a paid invoice, and the client still hears from you once.
  • Anyone who unsubscribed is skipped, whatever Xero sends.
  • Clients who do not respond get one reminder, then nothing more.
  • The key in the address can be replaced in one click if it leaks, and the old one stops working.

Where the others win

The branding theme link is free and permanent. NiceJob adds referral campaigns that trades businesses like. Some review tools also document their own direct Xero connection, which saves the Zapier bill, so check that before you buy anything.

Your Xero plan matters

Xero's US Early plan ($27 a month) caps you at 20 invoices, so a firm on it sends 20 requests at most and the free theme link may be enough. Growing ($59) and Established ($97) allow unlimited invoices, which is where automatic asking pays for itself.

Stay inside Google's rules

Asking every paying client is fine, rewarding them is not

An automated request is still your request, and the same review rules apply to it as to an email a partner sends by hand.

No fee discount for a review

Knocking 5% off the next invoice for a review is an incentive. Google prohibits incentives, and the FTC rule on consumer reviews (16 CFR Part 465) bans incentives conditioned on a positive or negative review.

No filtering by satisfaction

Sending happy clients to Google and everyone else to a private form is review gating, which Google prohibits. ReviewJet has no gating step. Every paying client gets the same email.

Mind your professional rules

CPAs and enrolled agents should keep client confidentiality in mind when replying to reviews. Thank the reviewer, never confirm the engagement or discuss their tax situation in public.

No. Xero has no review request feature. Xero itself suggests placing a QR code or a link in an advanced invoice branding theme. To ask after payment, with a reminder, connect Xero to a review tool through Zapier.
