Why the paid invoice beats every other QuickBooks trigger
Zapier lists 29 QuickBooks Online triggers. Four of them could start a review request, and only one of them fires at the moment a customer has received the work and agreed it was worth the money.
Zapier describes New Paid Invoice as firing "when the balance of an invoice becomes zero". That one detail matters. A deposit or a partial payment does not trigger it, so a customer halfway through a kitchen remodel is not asked for a review before the cabinets are hung. The request waits for the final payment, which is also the point where an unhappy customer would have told you already.
Retail and walk-in businesses that ring up sales receipts rather than invoices should use New Sales Receipt instead. The rest of the setup stays the same.

Create your trigger address
In ReviewJet, open Review requests and click Create trigger address. You get a private URL with a long secret key in it. Put your Google review link in the request template so the email points customers at your Google profile.

Start a Zap on New Paid Invoice
In Zapier, pick QuickBooks Online as the trigger app, choose New Paid Invoice and connect your company file. Pull in a recent paid invoice as test data.

Add a Webhooks by Zapier POST
Set the URL to your trigger address and the payload type to JSON. Map the invoice's customer email to email and first name to name, then set delay_days and your customers' timezone.

Test it and turn it on
Run the test. A scheduled answer means the request is queued. Send one to your own address first, read it on your phone, then switch the Zap on.
Fields the trigger address accepts
- Required. The customer's email from the invoice.
- name
- Optional. First name for the greeting.
- delay_days
- Optional. 0 sends now, up to 365 days later.
- timezone
- Optional. With it, the email lands between 9:00 and 18:00 the customer's time.
- template_id
- Optional. A different template per service line, if you keep more than one.
Guards built into the address
- A second call for the same email within 30 days is ignored, so a customer who pays three invoices in a week gets one request.
- Anyone who unsubscribed is skipped, whatever QuickBooks sends.
- Customers who do not respond get one reminder, then nothing more.
- The key in the address can be replaced in one click if it ever leaks, and the old one stops working.

Stay inside Google's rules
Asking every paying customer is fine, rewarding them is not
An automated request is still a request from you, and the same review rules apply to it as to one you send by hand.
No discount for a review
Taking 5% off the next invoice for a review is an incentive. Google prohibits incentives, and the FTC rule on consumer reviews (16 CFR Part 465) bans incentives tied to a positive or negative review.
No filtering by happiness
Sending five star answers to Google and everyone else to a private form is review gating, which Google prohibits. ReviewJet has no gating step. Every paying customer gets the same email.
No asking twice a month
Repeat customers on monthly retainers would get a request every time they pay. The 30 day guard stops that, and you can drop the delay to zero for one-off jobs only.
